Cover letters are important for so many people within so many industries. A resume is just a basic piece of paper where you lay out your qualifications and accomplishments. A cover letter should be written in paragraphs and have more of a conversational style. If you do not take on a conversational style, this can be a problem. It is not required by any means, but it seems like this is indeed the conversational style that employers are use to and expect. You do not want to catch them off guard.

You have to do serious background checks of these people if they are going to end up being stuck inside a classroom. Tips To Writing Cover Letters

Cover letters are really important if you are applying for a job. Often people who just send resumes do not get considered for the job. A letter explains your intent, allows an employer to get to know you better, and demonstrates how well you can communicate. It may also show compatibility, since it allows you to speak about other experience besides previous jobs and declare your salary requirements.

Even the smallest of mistakes can cost someone an interview. The big ones that you have absolutely no excuse for involve typos and poor grammar. If you accidentally list something twice, use strange formats and fonts, lie really obviously about your skills, or make demands from the prospective employer, your letter will be thrown away. Be professional.

A little common sense goes a long way. You may be incredibly witty, but a letter is not the place to show it. Humor can be easily misinterpreted. Keep your charm and people skills for the interview. Letters are informative, not for entertainment.

Length is where many people get in trouble. These letters should be anywhere from a third of a page long to a full page long. Too brief means that you are not concerned enough about getting the job to bother writing more. Too wordy shows that you cannot express yourself concisely. No one will read beyond a page.

Only expand on your resume, which gives you guidelines to the subjects you can stick to. Resumes do not give you much of a chance to talk about programs you completed, training you may have had, or awards you may have won. The letter is a good place to talk about it ONLY if it pertains to the job at hand. If you are looking for an office job, who cares about your latest vacation or your basketball trophy?

Let’s say you have a standard letter you send out to many different places. It has been checked over dozens of times and it is perfect and professional. Many people have such documents. It will be rendered completely useless if you send it to every company just as it is. Letters must be personalized to the job. Use the company name and position you are applying for in the body somewhere. Discuss the traits that are mentioned in the description.

They spoon-feed you everything you need to include. Just reword it. If you need to be able to type fast, talk about your exact typing speed and how in your last job you got a lot of practice because you had to take dictation. This proves that you are suitable and that you can read a job description well.

Formatting is where some people get in trouble, especially since online submissions have become more popular. If your standard letter is designed to be mailed out, then you must change the format when you submit it online. This means getting rid of your own name and address (and that of the company’s) above the salutation at the top of the page. You should also get rid of the space you left blank to sign your name. There is no need. Delete the word “Enclosure” at the bottom of the page. You do not need to signify that there is an enclosure if there is no envelope! Do the opposite for all of this if your standard letter is for online and you are currently sending it out through the mail.

Tips For Writing Great Cover Letters For Any Purpose

Let’s say you’re ready to apply for that grant or scholarship or you want to get into your dream school or take out a loan. So you’ve got everything together, the whole package, and all that’s left is… Well, cover letters aren’t always the easiest thing to write.

Luckily, everything you need to know about writing them, you can learn in just a few tips. It’s really not that tricky once you actually know what goes into it, how it’s done. In fact, it’s quite easy. It’s just a matter of taking a few moments out of your day to really sit down and figure out exactly how to write a great cover letter.

Bang it Out

The first draft is all about speed. You want to write it as quick as you can, really. At this point, it’s just about getting your ideas out on paper so you have something to work with. It’s sort of like, when you’re moving, before you pack anything, you usually take all your books and just pile them up. You then go through them and figure out what to keep and what not to keep. So the first draft of your letter is about just piling up your ideas.

Fact Check

Get all your papers together so that, when it comes time to do the second draft, you can fact check and make sure that everything you’ve written is accurate. You don’t want to make stuff up, and you do need to make sure that you have accountability for everything you say in the letter.

Put it Aside

It’s generally recommended that you take a break between the first and second draft. For a novel, you might wait months. For a letter, a day or two should do. This way you’ll get some distance from it and be able to look at it more objectively. Less like something you created, and more like something that you simply need to edit and take care of.

Draft Two

The second draft is really all about removing things. It’s better to have your first draft be a page too long and then chop away at it with the second draft. The general idea is to be ruthless. Anything that isn’t absolutely one hundred percent necessary has to go. So don’t be sentimental about it, just cut away at anything that doesn’t seem entirely necessary.

Double Check

Read through the letter once more to make sure that it’s accurate and truthful and well written. You don’t want to send it out with any obvious errors or major structural issues, so read it through and make sure it reads well, that it’s sensible, polite and professional.

Write Out the Final Draft

The final draft is really all about just typos, sentence structure and so on. You don’t really want to be doing anything here in terms of rearranging paragraphs, you don’t want to restructure it or add anything in. Just check the spelling, sentence structure, things like that. Make sure it reads well, and give it a quick polish.

Read Some Letters

Look for successful cover letters and see how they read. You’ll see that they’re all well written, friendly but formal, they don’t have any typos, they read well, and they’re not stuffy or boring. They have a definitive beginning, middle, and end. There’s a point in every walk of life that if you want to be successful, you can’t go wrong by looking at someone else who was successful, and copying them. If not word for word, act for act, then in spirit.

Stop Rewriting!

Here’s how you work out a letter: Write one draft really fast, in one sitting, in one page, and don’t worry about quality. Just get the idea out there on paper so you have something to work with. Now, the second draft, take your time, a day or two, to really polish it up and make it great. The third one, just do a once over, make sure that you have it just right, give it a few tweaks, check for typos, etcetera. Now, print it out and don’t touch it. That’s your final draft. If you obsessively rewrite and rewrite, you wind up with a garbled mess that nobody understands. So call it a day when you have a good draft, and leave it alone!

Do Not Make Stuff Up!

You won’t get away with making stuff up. You need to be completely honest. Oh sure, you can paint yourself in just the right light. Like maybe you didn’t have bad grades in school so much as you “showed promise” and “really put forth the effort”… Or, perhaps “formal schooling just couldn’t hold a candle to self education”. But, if you were a straight D student, you weren’t a straight A student, and that’s just fact. So be honest, and don’t put anything in there that they can call you on, or you risk calling the validity of the whole letter into question.

The Strength Of Nicely Structured Cover Letters

Communication through written or typed correspondence is still important in our society, and properly written cover letters can convey your intents exactly.

Whether complaining about a product to a manufacturer, disputing an invoice, or explaining events that led up to a foreclosure, your letter should be clear and convey exactly what you are saying and what you expect to happen from your correspondence. It should be free of typographical errors, as well as spelling and grammar errors. And the sentences should be structured correctly.

Your complaint letters should not convey anger, rather your writing should include facts and figures, if necessary. Your letter will be taken seriously, if it is written as a serious adult. If you are writing to the Better Business Bureau, for example, your letter will be kept on file for a long time. It should be concise and right to the point.

You may also want to consider a cc at the end, that is a copy to another entity. As there is strength in numbers, your letter will hold more weight if another company is also told about it. For example, if you are writing to the Better Business Bureau, you may want to copy the Consumer Affairs department in your area. This will not only get more attention, but may speed up the solution to your problem.

When disagreeing with a bill, you should include the account number in either the first sentence or on the same line with the salutation. Dear Sir comes first, and if you tab a couple of times and then put RE or Subject and then a colon and your account number, this is acceptable.

If your letter is clear and to the point, the resolve will happen sooner. Be sure to include the product name, where you bought it, and the purchase price. It also needs to be understood by the reader why you are disappointed in the product. You should know that the billing processes with some companies take a couple of months to resolve disputes.

If you are preparing a letter for legal documentation, you should always include the events that led to the issue in chronological order, according to what happened first. Your first line or paragraph should indicate the issue you are referring to, and the rest of the letter should outline how this issue came about, whether it is a foreclosure, or a crime, and so forth. What happened first, including dates and times, if at all possible, then what happened next, and so forth is how you will convey the whole story to the reader.

So, briefly state the purpose of your letter, include all pertinent information in the body of your letter, and the ending should thank the person you are writing to for his or her time, and perhaps consideration. You can end it with Truly Yours, or Sincerely Yours, for example, and then sign your name. This is the way to correctly structure your cover letters.
